Why do we collect your information?
Collecting personal information allows GMS to deliver the high quality products and service levels that we are known for. We use the personal information we collect to:
- identify you and implement procedures to help protect against fraud, errors or misrepresentations;
- communicate with you;
- verify your eligibility for benefits and services;
- help us to administer the products that you have;
- provide you with offers which may interest you and market products to you;
- evaluate risk and manage claims;
- understand your preferences, along with your current and future needs, through customer surveys, market research and analysis;
- compile statistics about our plans; and
- meet regulatory or contractual requirements.
We do not collect any information that is not provided to us voluntarily and knowingly by you.
We collect information from you either directly or through our representatives and agents. We may collect information in writing, over the phone, on our website, via fax or email. Phone calls may be recorded for:
- quality assurance and improvement;
- training; and
- to create a record of your information and instructions.
We may also collect information about you from sources such as hospitals, doctors and other health care providers, your provincial health insurance plan and other governmental agencies, other insurance companies, benefit carriers or other organizations under which you are covered, and your current or former employer(s).
What if you want to email GMS?
We appreciate that email helps you communicate with us quickly and easily. As email is inherently unsecure, we urge you to carefully consider the information to be exchanged if you choose to correspond with us through email. If you email us, we accept your email as:
- consent to correspond with you via email; and
- your acceptance of the risks inherent in exchanging information by email.
When do we disclose information?
We provide your information to agents and service providers who help us serve you and the products you purchase.
We may disclose your information to a person who seeks the information as your authorized representative if you have provided us with authorization to do so.
We may disclose your information when required or permitted by law. When required by law to disclose information, we limit the information to only what is required by the relevant law.
In the event you are covered by another benefit carrier, we may disclose your relevant information to the benefit carrier when we are coordinating benefit payments between our organizations. This is in accordance with our contractual obligations.
We limit access to your information. Before we share your information with third parties, other than an agent or service provider who needs the information to conduct tasks or provide services on our behalf, we will seek your consent after telling you who we wish to disclose the information to and why.
We protect your information.
Unless we have your consent, we will not collect, use or disclose your information for any purposes other than what we've listed in this policy or in the policy for products you have purchased.
We have procedures designed to protect your personal information against theft, improper disclosure, loss, unauthorized access and use. We train our staff about their obligations with respect to all client information.
We will take all reasonable steps to ensure that your information is accurate and current.
If you have travel coverage and if you contact our travel assistance provider your personal information may be accessed from outside Canada for the purpose of file management. If you have questions about how this happens, please contact our Chief Privacy Officer.
We will not sell your information.
The choice is yours.
We will continue to collect, use and disclose information for the purposes described in this policy. However, subject to legal or contractual restrictions, you may (upon reasonable notice to us), choose to withdraw your consent to the collection, use and disclosure of such information. It is important to note that if your consent is withdrawn, you may restrict our ability to serve you. Further, if you withdraw your consent, we may not be able to offer you our products and services and you may limit our ability to pay your claims.
We may inform you of products, services or offers that we believe could meet your needs. If you do not wish to be contacted, please call our toll-free number or email email@example.com to stop receiving product updates and offers
Limiting the time we keep information.
Your information will be kept as long as required by law or the provision of services requires.
If we have information that is not correct, you can correct your information so that it is complete and accurate. To correct or update your personal information, please contact one of our Customer Care Representatives at 306.352.7638, or toll-free at 1.800.667.3699, and they would be pleased to assist you.
If you have a specific request, question or complaint about our privacy practices or policy, please let us know in writing. In your correspondence please describe your questions in as much detail as possible. We will respond to your concern as promptly and accurately as possible.
